Processing Employee Departures at Fairview


Overview

The process for employee departures at Fairview and HealthEast is as follows:

  1. The employee submit their resignation to the leader.
  2. The leader confirms the reason for their departure.
  3.  The leader reminds the employee that they will receive an exit interview invitation and encourages the employee to complete it.
  4. The leader submit the resignation within 24 hours of receiving it.
    Note: The employee’s IT access will not be turned off until after the employee’s last day.
  5. Once the termination is processed it will trigger an exit interview invitation via email to the employee’s work email address.
  6. The employee completes the exit interview. The exit interview is a short questionnaire regarding their employment experience, reasons for leaving the organization and suggestions for improvement.
  7. Leaders should partner with HR Strategy to understand trends and develop retention strategies.

Steps to Processing Employee Departures in Lawson

  1. Within 24 hours of receiving the resignation letter, the leader logs into Manager Self-Service in Lawson.
  2. From the My Direct Reports: Employment Actions section, select Process Action under Terminate All Employment.
  3. Click the drop-down arrow in the Employee field and select the direct report for whom you need to process change.
  4. Click the drop-down arrow in the Action field and select TERMALL – Terminate All Employment.
  5. Document the Effective Date for the action by clicking in the Effective field.
    NOTE:  Effective Date is the date that the employment relationship with Fairview is ending. Fore retroactive employment terminations, enter the actual termination date to process the action.
  6. Click the drop-down arrow in the Reason fields and a drop box will display.
  7. Select the applicable reason code. The Status field will automatically populate when reason code is chosen.
  8. In the drop down box next to Proper Notice you must select Yes or No.
    NOTE: Please refer to Policy and Procedure manual for guidelines related to Proper Notice.
  9. The Termination Date will populate with the Effective date. These dates must match.
  10. Additional information or notes can be added in the Comments field.
  11. Scroll to the bottom of the form and click Submit.
  12. A confirmation dialog box will appear. A confirmation message will also be delivered to your email.
  13. Forward the resignation letter to the Employee Service Center (esc@fairview.org).
